PA/Business Administrator

6 month fixed term contract

Central London/Working from home (Hybrid working)

£40000 - £45000

Working for busy well established multi disciplinary real estate consultany. This client account support role comprises administrative support to Executive Director, 2 x Senior Directors. Onboarding of new team members and coordination of multiple activities to ensure smooth running of the team.

Skills and Experience

  • Proactive diary management and strong PA skills essential
  • Ability to work autonomously and proactively manage own workload
  • Experience of working in a global and fast paced organisation
  • Excellent customer service skills to handle daily interactions with both team and client
  • Requires enthusiasm and a drive to meet deadlines
  • Adaptability to different situations and self-starter
  • Strong verbal and written communication skills.
  • Excellent skills in PowerPoint, Outlook, Excel required
  • Knowledge and understanding of Real Estate industry would be an advantage
  • Ability to act with discretion when working with confidential information

Key Responsibilities:

  • Administrative support (50% of role)
    • Admin support to three Directors, comprising:
      • Expense reports - timely submission of expense reports
      • Travel bookings - Global travel bookings and trip coordination
      • Diary Management - constant overview and proactive management of 3 busy calendars
      • Inbox management for Transactions/Projects Directors
  • Transaction and Project Management Team activities
    • Team Meetings (Transaction, Project and full EMEA Team meetings)
      • Agenda / slide deck ownership
      • Note taking and proactive action tracking management
    • Lead in drafting PowerPoint decks and collating information
    • Other activities to include, but not limited to:
      • Minute taking of key meetings - proactive action tracking when needed
      • Procurement meetings - agenda / slide deck ownership, not taking and proactive action tracking management
    • Scheduling of Tier 1 Vendor Performance Reviews/Business Reviews as relevant to the Rhythm of Business
  • Vendor workshops planning/end-to-end organisation
  • Team:
    • Onboarding of new team members including:
      • Account set up and orientation
      • IT Hardware Ordering/Facilitation set up
    • Onboarding of vendor staff to the systems (v-alias set up / systems access)
    • Deputise for Business Manager as required
  • Travel and Expenses budgets
    • Creation of Travel POs for Projects (requesting via SharePoint tools)
    • Travel Trackers T&E Reconciliation
  • Technology and tools:
    • Build thorough understanding of key tools such as OneNote, OneDrive, Microsoft Teams - point of contact to assist team members with queries
    • Teams / SharePoint site maintenance and superuser
  • Stretch projects
    • Opportunity for involvement in stretch projects with the wider global team such as Communications, Diversity and Inclusion and Wellness
